Below are the meeting notes for the March 5, 2014 meeting of the Community Relations committee of the University Area Commission.

March 5, 2014, 8-9 p.m.

AGENDA

Called to order at 8:10 p.m.

New Business

Missing info on UAC website – some committees keep materials in hard copy form, bring it to every meeting. That serves as an acceptable substitute for posting on the web. We will update the committee pages with a note that all committees handle record-keeping differently, but that records are available from the committee chair.

Potential Agenda for 2014

  • As part of annual commissioner training, do an update on sunshine laws and offer brief training on various modes of communication the commission has available to it; look into a bus tour.
  • Update website with biographical information for each commissioner.
  • Convene a meeting on Glen Echo ravine daylighting to start a dialogue.
  • Email announcement list – one idea is to solicit sign-ups at monthly meetings.
  • Super-committee nights, hosted by Community Relations, with potluck and shared agendas between all the committees.
  • Press release mechanism. Develop a press list, template

University District planning process – encourage other groups to attend the meetings with Mark Dravillas and the SoHud group on March 13th. Send to Ethan, Susan, Brandyn, Glen Echo.

We discussed the bylaws that pertain to the committee. We noted that the language in Article V. Section 1 (f) about preparing agendas for the yearly activities meeting and summary of activities may be unclear. Article V. Section 4 (c) about monthly commission activity fact sheets appears redundant with commission meeting minutes and should be recommended for removal.

Education Task Force – committee determined that this does not function as a formal committee with standing meeting times and agenda requirements. Instead, we will indicate on the website that Commissioner Shelton is chairing it and any inquiries should go to her.

Resolutions/Letters – after some discussion keeping them on file sufficient or should it be publicized when they are sent out? Put them in the public record (monthly minutes). We should think as a commission whether we want to do an occasional press release.

The committee decided to invite the other committees to a supercommittee meeting on April 2nd with potluck at 6 and approximately 90 minutes to share all the various committees’ agendas for 2014.
